How schools switch student information systems without a chaotic term

A practical sequence for moving off a legacy SIS, MIS or spreadsheets: demo, data migration, staff training and a term-timed go-live.

Replacing a student information system feels risky because the data is the school. The risk is real if the project is a file dump the week before term. It is manageable when migration, training and go-live are sequenced around the academic calendar.

Most schools that move to SchoolManagee go live in a few weeks, not a multi-year IT programme. The work is ordinary: decide what comes across, clean it once, teach the people who will use it, and open the parent app when families are ready to look.

Start with a configured demo

A useful demo is not a generic tour. It should be set up for your school type, size and region — a US district looking at state reporting is not the same conversation as an academy trust looking at census returns and safeguarding. Bring the principal or head, the registrar or office manager, a teacher, and whoever owns fees. They will notice different gaps.

Migrate the record, not every old workaround

The data that should move is students, guardians, staff, classes, historical grades and attendance. That can come from a legacy SIS, a MIS or a set of spreadsheets. Bring documents you still need. Leave the one-off spreadsheet that only made sense because the old system could not invoice a trip.

SchoolManagee’s onboarding team handles that import, typically at no extra cost. Agree the source files, the identifiers you will match on, and a sample of records someone in the office will check by hand. A small, checked sample catches more than a dashboard that says the import succeeded.

Train the roles that actually click

Administrators need the dashboard, admissions and reports. Teachers need attendance in under a minute and a gradebook that matches how they already mark. Families need a short onboarding kit: how to get the app, how to pay, how to message a teacher. Live training plus a help centre beats a 90-page PDF no one opens in week one.

Go live when the calendar can absorb it

The calm windows are before a term starts, or just after a reporting period closes. Launch the staff side first if you need to, then invite parents. Keep a named person in the school’s time zone for the first weeks. The goal is not a perfect historical archive on day one. It is a Monday where attendance, the class list and the parent message all land in the same place.

Book a demo to see the modules on your own student data, or return to the school management software overview.
